Digital workers, explained

A digital worker handles one process, start to finish.

Think of it as a new team member made of software. It reads documents, makes decisions and updates your systems. It uses AI only where judgment is needed, and hands a decision to a person whenever it should be theirs.

Supplier invoice worker
Example
  1. Step 1 AI

    Reads the invoice

Pulls the supplier, amounts and purchase-order number out of the PDF.

  2. Step 2 Rule

    Checks it against the order

Compares prices and quantities with the purchase order. Same input, same answer, every time.

  3. Step 3 AI

    Explains anything unusual

Spots a vague line item or a missing PO number, and writes a short note saying why.

  4. Step 4 Person

    Asks for approval

Invoices over $10,000 wait for a finance manager to approve, reject or edit.

  5. Step 5 Your systems

    Updates your finance system

Posts the approved invoice to the system you already use, such as SAP or NetSuite.

  • AI for judgment calls
  • Rules for fixed policy
  • People for sign-off
  • Connectors to your systems
AI is used in 2 of 5 steps.

An illustrative example. Every worker is designed around your own process, and Nx·Studio shows how much of it runs on fixed rules and how much uses AI.

Use cases

What could a digital worker take off your plate?

Good candidates are processes with clear steps, real decisions and plenty of repetition. A few examples, by team:

Finance

  • Match invoices to purchase orders
  • Flag unusual expenses for review
  • Reconcile accounts at month end

HR and people

  • Onboard new hires across every system
  • Answer policy questions the same way every time
  • Screen and route job applications

Customer service

  • Sort incoming requests and route them to the right team
  • Handle refunds within your policy
  • Draft replies for an agent to approve

Operations and supply chain

  • Handle order exceptions and delays
  • Forecast demand and plan stock
  • Schedule maintenance before equipment fails

Legal and compliance

  • Review contracts against your playbook
  • Run know-your-customer (KYC) checks
  • Check new regulations against your policies

IT and security

  • Review and set up access requests
  • Triage incidents and open tickets
  • Keep employee records in sync across systems

These are examples, not a catalog. Every worker is designed around how your team works, or you can start from a ready-made pack for common jobs like invoice exceptions, contract review or new-hire onboarding.

How it works

From a description to a working digital worker, in four steps.

It all happens in Nx·Studio. You don't need to write code to design a worker. Your engineers step in when it's time to connect it to live systems and deploy it.

  1. Step 1: Describe the process

Answer a few guided questions, paste a description, or upload the documents you already use, like policies, forms and spreadsheets.

    Plain EnglishYour own documents
  2. Step 2: Choose a design

An AI business analyst proposes five ways to build the worker, from cautious to cost-saving. Each one is scored on fit, safety and cost, with the hours it should save.

    Five designsScored side by side
  3. Step 3: Test it safely

Adjust the steps on a drag-and-drop canvas, then run the worker in a sandbox on realistic synthetic data. Watch every step, and approve, reject or edit wherever a person would.

    Visual canvasSynthetic test data
  4. Step 4: Download and own it

Export the complete application, with its code, tests and documentation, and run it on your own cloud or servers. No Nexgile runtime, no license check, no per-run fees.

Why Nexgile

Built around the three reasons AI projects fail.

Gartner predicts that more than 40% of agentic-AI projects will be canceled by the end of 2027, citing escalating costs, unclear business value or inadequate risk controls. Nexgile is designed to answer all three.

Source: Gartner press release, June 2025

Concern: Escalating costs

Costs you can predict

  • No per-run fees

You pay to design and deliver a worker, not each time it runs. AI steps are billed by your own AI provider, on your account.

  • Rules stay rules

Business rules you describe, like limits and eligibility, run as plain code with no AI call. Same input, same decision, every time.

Concern: Unclear business value

Value you can see first

  • Compare before you build

Each of the five designs shows its estimated hours saved, cost per run and payback, so you can pick the one that fits.

  • Watch it work

Every worker runs in a sandbox on realistic synthetic data, tricky cases included, before it touches a real system.

Concern: Inadequate risk controls

Risks you can control

  • People approve what matters

Approval steps pause the worker until the right person approves, rejects or edits. Approvers get their own inbox.

  • Read what it will do

Each worker is a readable, versioned blueprint of its steps, rules and approvals, and it's the same file the code runs.

Owned, not rented

Rent an AI agent, or own your digital workers.

The biggest difference isn't a feature. It's who holds the code when the contract ends.

Where it runs
Rented: On the vendor's platform
Nexgile: On your own cloud or servers
How you pay
Rented: Usually by usage, so the more it works, the more you pay
Nexgile: To design and deliver it, with no per-run fees
What you can see
Rented: What the vendor's dashboard shows you
Nexgile: Every step, every rule and every line of code
If you stop paying
Rented: The agents stop working
Nexgile: Your workers keep running, because it's your code
Who maintains it
Rented: The vendor, on the vendor's schedule
Nexgile: Your team, or Nexgile if you want help

You pay Nexgile to design and deliver your workers, not to run them. Ongoing help is there if you want it, on your terms.

FAQ

Questions people ask us.

Short, straight answers. Can't find yours? Ask us directly.

What is a digital worker?

Software that handles one business process from start to finish, such as checking supplier invoices or onboarding a new hire. It combines AI for judgment calls, fixed business rules for policy decisions, connections to the systems you already use, and approval steps where a person signs off.

Do we need technical skills to use Nx·Studio?

Not to design a worker. You describe the process in plain English or upload the documents you already have, and an AI business analyst designs the worker for you to review and adjust on a visual canvas. Your IT team gets involved when it's time to connect the worker to live systems and deploy it.

What exactly do we own?

Everything Nx·Studio exports for a worker: a complete Python application, including the source code of the runtime it needs, plus the worker's blueprint, tests, a Dockerfile, a security threat model and a signed software bill of materials. If the worker has approval steps, you also get the reviewer inbox app your approvers use. There's no license key and nothing that depends on Nexgile to run.

What happens if we stop working with Nexgile?

Your workers keep running. They're standard code on your own infrastructure, with no license check, no meter and no calls back to Nexgile, so there's nothing for us to switch off. Every export includes a signed bill of materials and an offline verification script, so your engineers can confirm that themselves.

How much does it cost to run a worker?

Nexgile charges to design and deliver your workers, not to run them, so there are no per-run fees and no runtime license. Rule steps run as plain code and make no AI calls. AI steps are billed by your own AI provider, on your account. Before you build, Nx·Studio shows an estimated cost per run for each design.

How our pricing works
Do you see our production data?

Nx·Studio doesn't need it. It works from your descriptions, your documents and synthetic data made for each worker, and you decide if and when to import sample data of your own. Anything you share is used only to design your workers, with a data-processing agreement in place first. Exported workers run on your infrastructure and never call Nexgile.

Who maintains the code once it's ours?

Your call. An export is ordinary Python with tests and a README, so your engineers can maintain it like any internal system. Or Nexgile's Managed Delivery team can look after it for you. It's optional, and on your terms.

What is Nx IDE, and do we need it?

Nx IDE is a code editor built on VS Code with the Nexgile Code AI assistant inside. It's for software engineers: it plans, writes, tests and reviews code on the AI model you choose, and asks before risky changes. You don't need it to use Nx·Studio, but it's a natural place for your engineers to work on the code you own.
